Imagine this ...
Emma is an HR Manager for a leading hotel in Malta who employs 1000 people. She manages a diverse team, many of whom, do not speak English as their first language.
She has a new team member, Catarina, who is very good at her job as an HR executive but struggles when communicating with her colleagues.
Part of her role is to ensure that new employees submit their personal information to enable Payroll to process salaries at the end of the month.
Historically, new employees tend to leave out information in their excitement to start their new jobs.
Catarina prefers to send emails to the employees instead of calling them. That way she doesn't have to worry about being embarrassed as English is not her native language!
This has been going on for six months which also means that she hasn't had time to cover her other tasks and is falling behind. Emma asked other team members to take on some of Catarina's workload to ease the pressure of targets not being met.
Catarina spends an average of three hours per week obtaining the missing information. The is because the new employee responded after attending a two day induction meeting and sent half of the information requested.
Time is also spent drafting the email, using Grammarly to check it and asking a colleague to read over it as well! Catarina is so nervous about getting it wrong and being judged by others that she then gets on with other work before finally plucking up the courage to send the email.
In truth, Catarina sending emails to employees instead of calling them is costing the Organisation €35K per annum. Here is a breakdown of the costs:
Let's say Catarina has to contact five employees a week regarding missing information, which is not uncommon.
She spends three hours on each employee which is fifteen hours per week.
Her hourly rate is €10.00 which means she spends €150 per week on this task.
In a month that works out to €600 and in a year that would be €31,200.00. Added to that is the time of the five new employees making a total of €32,000.
